General Recommendations

1.    Always carry one set of materials in your baggage and have a soft copy available in case you need to have anything printed or show digitally.

2.    Make sure you inform your international courier that all fees and custom taxes are payable by the sender, and not the recipient. In all cities, each event venue/hotel will receive the packages. If the courier tries to charge the hotel, the hotel will reject the packages. Shipping of materials to events and any associated costs are the sole responsibility of the exhibiting institution.

3.    Ship two to three weeks before the start of each event. Please do not send materials more than three weeks prior to event commencement; if materials arrive more than 13 days prior, the hotels may reserve the right to reject them.

4.    Print and use the labels we designed for each city. Please write the name of the institution on the label, to help identify the owner of each package. These labels also help to distinguish our event packages from other packages at each hotel.

5.    Do not insure your packages. Insured packages are always subject to customs controls, which results in delays.

6.    Always include the original commercial invoice, detailing specifically the content of the package, not using general terms but stating exactly the package content.

7.    Track your shipment. Most couriers provide a tracking number so you can keep an eye on your shipment by accessing the couriers’ website. Track your shipment every day and inform us immediately if anything is out of the ordinary. Spotting a customs problem in advance may help expedite the delivery if action is taken. Losing time due to a customs problem may result in undelivered materials and extra fees.

Shipping to Brazil

1.    Never exceed 50 kg (110 lb), any shipment exceeding this limit will be considered as an importation of goods and it will be impossible for ENZ to take them out of customs. If you want to send more than this limit, do it separately, waiting at least 4 days between one shipment and another.

2.    Never exceed USD 1000 on the declared value, any shipment exceeding this limit will be considered as the same situation explained in item 1.

3.    Avoid using DHL, we frequently have problems with them.

4.    Complete and correct information of the recipient is needed, complete address with CEP (Zip Code), telephone no., contact person and the CNPJ number, this number is a legal identification of companies in Brazil and is used for taxes purposes.

5.    Always include the original commercial invoice. The invoice specifically details the contents of the shipment, as detailed as possible.

6.    Never declare 0 value, a certain value must be declared for every package sent to Brazil.

7.    Books are not subject to pay taxes, and a 0 value can be declared. Never include the title or author of the book, describe them simply with "BOOKS".

8.    Magazines and brochures are subject to pay taxes, even if they will be distributed for free. With such materials it's better to declare a value considering an estimate between USD 3 to USD 7 per kg (2.2 lb) of printed papers.

9.    If books and magazines/brochures are in the same box, all the content will be subject to pay taxes. So it's better to separate books from magazines/brochures.

10.Other articles such as key rings, baseball caps, T-shirts or souvenirs are subject to pay taxes so it's best to declare the real cost of the articles in the country where manufactured, the higher this value, more taxes will need to pay.

11.There are no formal restrictions for weight or size, although standard box sizes and weight should be respected

Another alternative is using different couriers, but if by any means the packages coming from the same sender are grouped together in the Colombian customs, they will be considered as one and the weight will be combined.

2.    Never exceed USD 1000 on the declared value, any shipment exceeding this limit will be considered as the same situation explained in item 1.
